Invoices from start to finish
Close a stay with one final invoice that accounts for everything already invoiced.
Over Sophie’s stay Hotel Alberto issued two invoices: one for her deposit and one for the concert tickets. At check-out the rest of the stay, the minibar and the airport transfer still need invoicing. With Final invoice mode set to Reversals inside the final invoice (see Invoicing details), Hoteliera issues one last invoice with every charge of the stay and a negative line for each earlier invoice, so the total is exactly what Sophie still owes.
Hands-on: the final invoice
- Open Reservations › Sophie Laurent › Financials and click Final invoice (next to Fiscal invoice).
- The window lists the Reversed invoices (the deposit, €120.60, and the tickets, €76) and the Final invoice total: €553.20 for the whole stay minus €196.60 already invoiced = €356.60.
- Click Final invoice. The new invoice appears with the Final badge; the two earlier ones now read Reversed on final invoice. They stay valid and keep their payments.
- Open the preview: lodging, the extras by name (Concert ticket x2, Airport transfer at 10%; Ticket booking fee x2, Water 50cl x2, Beer 33cl at 22%), the city tax, then a Storno of invoice … line for each earlier invoice.
Hands-on: correcting a line
Sophie says she never drank the beer. On an ordinary invoice, Create Storno lets you reverse one line or part of it, and the dialog shows the total of the correction. A final invoice is different: it already contains its reversals, so Hoteliera answers This final invoice already contains its reversals. Delete it instead of issuing a storno.
- Remove the beer from Services and extra products.
- Delete the final invoice.
- Click Final invoice again. The new final invoice no longer has the beer.
