Rate plans

Set the prices, the cancellation policy and the payment terms guests can choose from.

A rate plan is a package of conditions a guest can book: the price for each room type and meal plan, the cancellation policy, and when the guest pays. Most small hotels need two. A Flexible rate for guests who want to keep their options open, and a cheaper Non-refundable rate for guests who are sure of their dates, which gives you money you can count on. Hotel Alberto’s Non-refundable rate is 15% below Flexible and is sold room only.

Hands-on

Creating Flexible and Non-refundable
  1. Go to Settings › Rate plans and click Add Rate plan.

  2. Name: Flexible.

  3. In the price grid, each column is a room type and meal plan. With breakfast included in the BB price, Hotel Alberto enters:

DBL RO DBL BB TRP RO TRP BB
    Flexible 110 134 145 181

Meal value per adult (food only) for BB is 12: the part of the BB price that is food, used to split the invoice between lodging and meals.

  4. Cancellations: pick Very flexible - 1 day (the guest can cancel for free until the day before arrival).

  5. Payment terms: 30 % on reservation and 70 % on arrival.

  6. Click Save, then Add another rate plan in the message that appears.

  7. Name: Non-refundable. The new plan offers based on existing rate plan; switch Pricing type to manual (see the note below).

  8. Fill only the RO columns: Double 93.50, Triple 123.25. Leave the BB columns empty, so breakfast isn’t sold on this rate.

  9. Cancellations: Non-refundable. Payment terms: 0 % on arrival, then 100 % on reservation.

  10. Click Save.

Derived plans. "Based on existing rate plan" copies another plan's prices with a percentage up or down, and follows it automatically when you change the base prices. It's ideal for something like a "Weekly −10%" rate. It copies every meal plan of its base, though, so a room-only version of a plan that also sells breakfast has to be a manual plan, as here.

See the effect

The planner opens, and guests see both rates

With a rate plan in place, the Planner finally draws the calendar: a DBL row with rooms 101 to 104 and a TRP row with rooms 201 and 202. On the booking website, for two nights in November, the Double shows both meal options. Non-refundable comes up at €187 for two nights, paid in full at booking. Switching to Flexible with breakfast shows €268, 30% now and free cancellation until the day before, and the booking summary confirms Flexible · Breakfast.
