When Every Room Is One of a Kind: Selling Unique Apartments and Themed Rooms

Picture an apartment manager with 7 apartments across 3 buildings. One has a sea view and a balcony. One sleeps six. One is a studio with a kitchenette. Or picture a themed hotel where every room tells a different story: the Library, the Jungle, the Space room. Guests pick it because of the theme.

In both cases, “a double room” means nothing. The guest books that apartment, that room. Here is how to set it up so they get exactly what they chose.

The concept

Hoteliera sells room types, not room numbers. A booking engine or a channel such as Booking.com sells “a Double”, and you pick the exact room later in the planner. That works when all Doubles are alike.

For unique units, give each one its own room type. Make one room type per apartment or themed room, and put exactly one room in it. “Sea View Apartment” holds one apartment. “The Jungle Room” holds one room. Now a booking for that room type can only land in that unit.

Everything you set on a room type then applies to that one unit:

  • Name, photos and description, so the guest sees the actual apartment or theme.
  • Amenities, such as a balcony, a kitchenette or a hot tub.
  • Occupancy, prices, minimum stay and other restrictions.
  • Its own listing on each channel. On Airbnb, for example, each apartment becomes its own listing.

Locations group units by building. Each location has its own address, website texts and room types. Seven apartments in three buildings become three locations, each holding its own apartments. Guests see the right address for each unit.

Availability is 1 or 0. A unique unit is free or it isn’t. The moment it’s booked anywhere, every channel and your website see it as sold for those nights.

The allotment and common pool settings from our previous guide still work. With one unit they get simpler:

Allotment on a channel What it means for the unit
Empty The unit sells everywhere. First booking wins. This is the default.
1 The unit is held for that channel only.
0 The unit is closed on that channel. It still sells on your website.

Sold whole or in parts. If a villa can be rented whole or room by room, mark it as a mutual room type and pick the rooms it contains. A booking for the villa blocks its rooms, and a booking for any room blocks the villa.

How to set it up

1. Create a location per building. Go to Settings → Locations and add one location per address. Fill in the address, photos and website texts. A single building needs just one location.

2. Create one room type per unit. Go to Settings → Room types. For each apartment or themed room, add a room type with its own name, description, photos and occupancy, and assign it to its location. Add exactly one room to it.

Name it the way guests should see it: “Jungle Room” or “Sea View Apartment, Old Town”. Avoid generic names like “Double 2”. The name is what sells a unique unit.

3. Add the amenities. Go to Settings → Amenities. Turn on what you offer in the catalog, then use the matrix to tick each amenity for the units that have it. Guests compare units on these.

4. Set prices per unit. Each room type has its own rates. Price the sea view higher than the studio, or the most popular theme higher than the rest.

5. Map each unit on your channels. Connect your channels and map each room type to its own listing or room on that channel. On Airbnb, that’s one listing per apartment.

6. Decide where each unit sells. By default, every unit sells everywhere. To keep one unit off a channel, set its allotment to 0 there in Availability & Rates → Edit allotments in bulk. To hold it for a single channel, set 1. The allotment guide has the details.

7. Check the website. Open your booking engine as a guest. Each unit should appear with its own photos, amenities and price, under the right location. That’s what the guest compares when choosing.

Already set up as a few generic room types? You can move to one room type per unit at any time. Do it in a quiet period, and check your channel mapping right after, so every listing points to its new room type.
